Auto Tagging Help

 

Introduction

 

Auto Tagging is for automatically tagging files based on folder groups. A folder group defines which folders are monitored and within these folders which files/file types should be tagged.

 

Auto Tagging

The Auto Tagging application can be started using the ‘ Auto Tagging’ shortcut in the Tagging for Windows desktop folder or in the start menu. It will be part of the so called ‘Tray’ in the bottom right part of the screen.

The application has 4 tab pages. The first shows the last performed activities. The second shows the queue of files to be processed. The third shows the results based on the configuration. The fourth shows the info about the application.

The application also shows the current state. The possible states are:

 

Sleeping: Nothing to do.

Processing: Processing new or changed configuration.

Pausing: Auto tagging is paused.

Quit: The application is ended. The automated tagging stops.

Configuration: Create, view and modify Folder groups / Settings.

Process scheduled: Process the folder groups based upon their schedule configuration.

Process Now: Process all new and changed files for active Folder groups.

Pause: The auto tagging is paused.

 

Note: If the cross in the upper right corner is pressed, the application is minimized to the tray.

Configuration

The configuration has 2-tab pages. The first is for creating, viewing and modifying folder groups. The second is for the settings used for auto tagging.

I.                     The list of Folder groups. A folder group has a name, state and how it is scheduled. A folder group can be added, removed, renamed and copied.

II.                   The Folder group details. The folder group has the following properties:

 

a)       Name The name of the folder group.

b)      State The state can be on or more of the following:

·         Active/Inactive The folder group is active or inactive.

·         Monitor new and changed files The folders are monitored for new or changed files.

c)       Schedule The folder group can be scheduled:

·         New (scan): Find files for the first time.

·         Rescan: Find new/changed files

·         Rematch: Rescan + Match all previous files (Links to only the newfound Tag matches are created).

·         Relink: Rematch + Link the matching Tags again.

d)      Search in

·         Both filenames and content.

·         Content only.

·         File name only.

e)      Folders

A list of folder that will be monitored and searched for new or changed files. A ‘+’ after the folder name indicates that the subfolders will be included. A ‘=’ after the folder name indicates that the subfolders will not be included. Default, nothing after the folder name,  the subfolders will be included.

f)        Filters

Files monitored and searched based on their extension. Wildcards can be used: the asterisk character (*) matches zero or more characters. The question mark (?) matches exactly one character.

III.                 The list of Matched tags.

Th list of tags that can be applied when the Folder group details and the Tag details match. A Tag can be added and removed.

IV.                The Matched tag details

A list of words used to search the found files based upon the Folder group details. You can also use regular expressions to specify matching words.  Start a line in the ‘Matching words’ part with a forward slash (/) to specify a regular expression that must be used.

 

Examples:

A gmail address:

All characters are lowercase:

/[a-z0-9]*@gmail\.com

 

The part before the @ can be lowercase and uppercase:

/[a-zA-Z0-9]*@gmail\.com

 

The case of the complete gmail address is ignored, all cases are allowed.

/(?i)[a-z0-9]*@gmail\.com

 

A word between brackets at the beginning of a line:

/(?m)^\[WordBetweenBrackets\]

 

A word between brackets at the end of a line:

/(?m)\[ WordBetweenBrackets\]$

 

Sometimes the expression below works better in this case:

/(?m)\[ WordBetweenBrackets\]\r?$

                                    

 

Match a part of a line with a forward slash (/) in it, without using regular expressions:

///partofline

The double forward slash (//) indicates regular expressions should NOT be used.

Settings tab

The settings are used for the automation and options.

Automation

It is recommended to check ‘Launch on System Startup’, otherwise it must be remembered to start the auto tagging every time after a reboot.

The ‘number of processes for searching’ is set to 4 by default. To limit the processor load, it is possible to set the number of processes to be used for searching documents. A higher number will increase the load of the computer.

The ‘Queue speed (adding)’ determines how fast files, matching folder groups options, are added to the queue of files to processed and tagged.

 

Options

The Schedule selection, of Folder groups, is kept when the ‘Process Scheduled’ button is pressed.
